How to write an estimate in under a minute

Fill in the form, watch the live preview, and download or save. Here is the full walkthrough.

  1. 01Add your business and the prospective client (name, address, and contact details).
  2. 02Describe each part of the job as a line item with a quantity and rate. The total updates live.
  3. 03Set tax per item and apply a percentage or fixed discount if you are offering one.
  4. 04Set the date the estimate is valid until, upload your logo and pick the currency.
  5. 05Click Download free PDF to send it, or Create account & save to turn it into an invoice when the job is approved.

An estimate is your best guess at the cost before the work starts. When the scope is fixed and the price is binding, send a quote instead.

What should an estimate include?

A clear estimate sets expectations before any work begins. Include the following so the client can approve it without a follow-up call.

  • Your business name and contact details
  • The client’s name and address
  • A unique estimate number
  • Issue date and the date the estimate is valid until
  • A description of each part of the work
  • Quantity and rate for each item, and the estimated total
  • Tax, if it applies, shown per item
  • What is excluded, and what could change the price
  • How to approve it and what happens next

Taxes, VAT, GST, and multiple currencies

You can mark each line item taxable or not and set the rate, so a single estimate can mix taxed and untaxed items. This per-item control is something many simple tools cannot do, where one document is limited to one tax rate.

Documents render in 9 currencies with locale-correct formatting: USD, EUR, GBP, CAD, AUD, JPY, INR, PKR, and MXN. That covers VAT in the EU and UK, GST in India, Australia and Canada, and US sales tax. Need detailed tax handling across your whole workflow? See the tax feature.

Frequently asked questions

What is the difference between an estimate and a quote?

An estimate is an approximate price that can change as the work becomes clearer. A quote is a fixed price the client can accept as binding. Use this tool for estimates and the free quote generator when the price is firm.

Is this estimate generator really free?

Yes. Build an estimate and download a PDF instantly, with no account, no limit and no credit card. The free download includes a small Invoice My Clients footer mark.

Can I convert the estimate into an invoice?

Yes. Click Create account & save and the estimate is carried into your new Invoice My Clients account as a draft invoice labelled Estimate, with its EST- number kept. Edit it, send it, and get paid online from there.

How long should an estimate be valid for?

30 days is common. The tool defaults the "valid until" date to 30 days from today; change it to whatever suits the job and your prices.

Is my client data safe?

Yes. Everything you type stays in your browser. Nothing is uploaded or stored on our servers unless you create an account and save the document yourself. See our privacy policy for details.

What currencies are supported?

USD, EUR, GBP, CAD, AUD, JPY, INR, PKR, and MXN, each formatted correctly for its locale.

Do I need to install anything?

No. Everything runs in your browser. There is nothing to download or install.

What happens when I create an account?

Your estimate is carried straight into your new Invoice My Clients account. Your estimate arrives as a draft invoice labelled "Estimate", keeping its EST- number, ready to send once the client approves it. From there you can edit it, send it, track payment, and get paid online.

Does it remember my business details?

Yes. Your own business details, logo, currency, and payment information are saved on your device (in your browser, never on our servers) so you do not re-enter them next time, and your estimate number auto-increments from the last one you used. Client details, line items, and amounts are never saved. You can clear everything any time with the "Clear saved details" link above the form.
