How to make a commercial invoice in under a minute

- 01Add the exporter (your business) and the importer (the consignee) with full addresses, country, phone number and tax or EORI numbers where you have them.
- 02List every item with a plain-language description, the HS (tariff) code, the country of origin, the quantity and the unit value.
- 03Pick the currency the goods are valued in and set the commercial invoice number (CI- prefix), the invoice date and the ship date.
- 04In the notes, state the Incoterms (for example FOB, DAP, DDP), the reason for export (sale, sample, return), the number of packages and the gross and net weight.
- 05Upload your logo, check the total value, then click Download free PDF and print three copies: one in the parcel, one on the outside, one for the carrier.
Customs wants a complete, accurate description and value for every item. Vague descriptions like "parts" or "gift" are the most common reason a shipment is held.
What should a commercial invoice include?
The commercial invoice is the document customs uses to classify the goods, assess duty and decide whether to release the shipment. Carriers such as DHL, FedEx and UPS will not accept an international shipment without one. Include the following.
- The words "Commercial Invoice" and a unique invoice number
- Exporter (shipper) name, address, country, phone and tax or EORI number
- Importer (consignee) name, address, country, phone and tax ID
- Invoice date and ship date
- A precise description of each item, including what it is made of and what it is for
- HS or tariff code and country of origin for each item
- Quantity, unit value and total value per line, in a stated currency
- Total value of the shipment, plus freight and insurance if the Incoterm includes them
- Incoterms (FOB, CIF, DAP, DDP) and the reason for export
- Number of packages, gross and net weight, and the carrier tracking number
Taxes, VAT, GST, and multiple currencies
You can mark each line item taxable or not and set the rate, so a single commercial invoice can mix taxed and untaxed items. This per-item control is something many simple tools cannot do, where one document is limited to one tax rate.

Frequently asked questions
What is a commercial invoice, and how is it different from a normal invoice?
A commercial invoice is the invoice used for international shipments. It is both the bill to the buyer and a customs declaration: customs officers use it to work out what the goods are, where they came from, what they are worth and therefore what duty and tax apply. A domestic invoice only needs to satisfy your buyer and your tax authority; a commercial invoice must also satisfy the importing country’s customs, so it carries HS codes, country of origin, Incoterms and weights.
Commercial invoice vs proforma invoice: which do I need?
A proforma invoice goes first, before the sale is agreed or the goods ship, so the buyer can arrange payment or import permits. The commercial invoice goes with the actual shipment and is the document customs clears. For many shipments you issue both, with the same line items. Where do I put HS codes and the country of origin?
Put them in each item’s description, for example "Men’s T-shirts, 100% cotton. HS 6109.10. Origin: Portugal". Customs needs them per line, not per shipment. The six-digit HS code is international; the importing country may want its own longer tariff code, which your customer or broker can supply.
What are Incoterms, and do I need them on the invoice?
Incoterms state who pays for freight, insurance and import duty and where responsibility passes. Common choices are FOB (buyer pays from the port), DAP (seller delivers, buyer pays duties) and DDP (seller pays everything, duties included). Put the term and the named place in the notes, for example "Incoterms 2020: DAP Rotterdam". Carriers and customs expect it.
