How to make a New Zealand GST invoice in under a minute

- 01Add your business name, address and GST number (your IRD number used for GST), then the customer’s name, address and, for a business customer, their GST number.
- 02Add each supply as a line item with a description, quantity and price. The subtotal and GST recalculate live.
- 03GST is pre-set to 15%. Untick taxable on zero-rated lines such as exported goods or services performed for a non-resident outside New Zealand.
- 04Set a unique invoice number, the invoice date and the due date (the notes default to the 20th of the following month), upload your logo and confirm the currency is NZD.
- 05Add your bank account number and any purchase order reference to the payment information field, then click Download free PDF.
The notes start with "Tax invoice. GST included at 15%. Payment due by the 20th of the month following the invoice date." Edit the due date if your terms differ. The PDF is a document you give your customer; nothing is filed with or sent to any tax authority, and registering for the tax, charging the right rate and reporting it remain your responsibility.
What must a New Zealand GST invoice include?
Since 1 April 2023 Inland Revenue calls these details "taxable supply information" rather than a tax invoice, and what you must provide grows with the value of the supply. Include the following and you cover every tier.
- Your name (or trade name) and GST number
- The date of the invoice, or the date of supply if different
- A description of the goods or services supplied
- The consideration: either the GST-exclusive amount, the GST and the total, or the GST-inclusive total with a statement that it includes GST
- For supplies over 1,000 NZD, the customer’s name and one of their address, phone number, email, NZBN or trading name
- A unique invoice number, so both sides can reference it
- The customer’s GST number if they have given it to you
- Your bank account number and the date payment is due
- The words "Tax invoice", which are no longer required but still expected by most accounts teams

Frequently asked questions
What must a New Zealand tax invoice include?
Inland Revenue now requires "taxable supply information" rather than a formal tax invoice. For supplies of 200 NZD or less: your name and GST number, the date, a description and the amount. For supplies over 200 NZD and up to 1,000 NZD: the same plus the GST-exclusive amount, the GST and the total, or a GST-inclusive total stated as such. For supplies over 1,000 NZD: also the customer’s name and one identifier (address, phone, email, NZBN or trade name). The customer needs these details to claim the GST back, so a business will ask for all of them regardless of the amount. The words "Tax invoice" are no longer compulsory but nearly everyone still uses them, so this tool keeps them in the notes.
What is the GST rate in New Zealand?
GST is a flat 15% on almost all goods and services, which is what this tool starts with. Exported goods and certain services supplied to non-residents outside New Zealand are zero-rated, and financial services and residential rent are exempt; untick taxable on those lines. There are no reduced rates.
Do I have to register for GST?
You must register once your turnover from taxable activity exceeds 60,000 NZD in the last 12 months or is expected to in the next 12. Below that you may register voluntarily. If you are not registered you must not charge GST or describe the document as a tax invoice: leave the GST number blank, untick taxable on every line and delete "Tax invoice" from the notes.
Why is payment due on the 20th of the month?
It is a long-standing New Zealand convention: invoices issued in one month are paid by the 20th of the next, which lines up with the 20th-of-the-month GST filing and payment date used by many businesses. It is a custom, not a rule, so if you want net 7 or net 14, edit the notes and set the due date accordingly.

Client details, line items, and amounts are never saved. You can clear everything any time with the "Clear saved details" link above the form.
