How to make a deposit invoice in under a minute

  1. 01Add your business and the client, and set the deposit invoice number (DEP- prefix), the issue date and the due date for the deposit.
  2. 02Add one line item that names the job and the deposit, for example "50% deposit on kitchen refit, total quote 12,000", with the deposit amount as the rate and a quantity of 1.
  3. 03Mark the line taxable if a deposit is taxable where you are (in most VAT and GST systems it is, at the point the deposit is received).
  4. 04Upload your logo, pick the currency, and put your bank details or payment link in the payment information field.
  5. 05In the notes, state the total contract value, the balance remaining and when it will be invoiced, then click Download free PDF.

The total on this document is labelled "Deposit due" so the client understands it is a part payment, not the full price.

What should a deposit invoice include?

A deposit invoice asks for part of the price up front, so it has to be clear about what the whole price is, what portion is due now and what happens next. Include the following.

  • The words "Deposit Invoice" and a unique number in your invoice sequence
  • Your business name, address, contact details and tax number
  • The client’s name and address
  • The issue date and the due date for the deposit
  • What the deposit is for: the project, quote or contract it relates to
  • The total contract or quoted value
  • The deposit as a percentage or a fixed amount, and the resulting deposit due
  • Tax on the deposit, if it applies
  • The balance remaining and when it will be invoiced (on completion, or by milestone)
  • How to pay, and whether the deposit is refundable

Frequently asked questions

What is a deposit invoice, and how is it different from a regular invoice?

A deposit invoice bills for an agreed portion of a larger job before the work starts or the goods are ordered, typically 25% to 50%. A regular invoice bills for the whole amount, usually after delivery. The deposit invoice is a real invoice with its own number and due date; the remainder is billed later on a final or balance invoice that shows the deposit already paid.

How much deposit should I ask for?

Common practice is 30% to 50% for custom work, materials-heavy jobs and new clients, and 10% to 25% for services with little upfront cost. Cover any materials you have to buy before starting. Whatever the figure, agree it in the quote or contract before you send the deposit invoice.

Do I charge tax on a deposit?

In most VAT and GST systems, yes: tax is due when the payment is received, so the deposit invoice shows tax on the deposit and the final invoice shows tax on the balance. US sales tax rules vary by state and by whether you sell goods or services. When in doubt, ask your accountant and set the taxable toggle on the line accordingly.

How do I invoice the balance afterwards?

Issue a final invoice for the full amount with the deposit received shown as a fixed discount, or invoice only the balance and reference the deposit invoice number in the notes. Either way the client sees the whole price, what they have paid and what is left. The free invoice generator can produce the balance invoice.
