How to make a US invoice with sales tax in under a minute

- 01Add your business name, address and, in the "EIN or tax ID" field, your EIN (or your sales tax permit number if a customer needs it), then the customer’s name and full address, since the ship-to address usually decides the rate.
- 02Add each product or service as a line item with a description, quantity and price. The subtotal recalculates live.
- 03Sales tax starts at 0% because there is no national rate. Enter the combined state, county and city rate for the customer’s location (for example 8.25%), and untick taxable on lines that are exempt, such as most services in most states.
- 04Set the invoice number, the invoice date and the due date, upload your logo and confirm the currency is USD.
- 05Add your payment terms (net 30 is the norm), how to pay (ACH, check, card) and any resale certificate reference in the notes, then click Download free PDF.
The notes start with "Sales tax applied at the rate for the customer’s location where the goods or services are taxable. Payment due within 30 days." If the customer gave you a resale or exemption certificate, say so there and leave every line non-taxable. The PDF is a document you give your customer; nothing is filed with or sent to any tax authority, and registering for the tax, charging the right rate and reporting it remain your responsibility.
What should a US invoice include?
There is no federal invoice law in the United States, but state sales tax rules, your customer’s accounts payable team and the IRS at audit time all expect certain details. Include the following.
- Your business name, address, phone and email
- Your EIN or tax ID (customers who will send you a 1099 need it; a W-9 supplies it formally)
- A unique invoice number and the invoice date
- The customer’s name, billing address and the ship-to address if different
- A description of each product or service, with quantity and unit price
- Which lines are taxable, and the sales tax rate and amount charged
- The subtotal, any discount, sales tax and the total due
- Payment terms (net 30, due on receipt) and the due date
- How to pay: ACH details, a card payment link, or where to mail a check
- A purchase order number if the customer issued one

Frequently asked questions
What are the sales tax invoice requirements in the US?
There is no single national rule, since sales tax is levied by 45 states, the District of Columbia and thousands of local jurisdictions (Alaska, Delaware, Montana, New Hampshire and Oregon have no state sales tax). Most states require that tax be separately stated on the invoice or receipt rather than buried in the price, and that you keep the invoice as evidence of the tax collected. Beyond that, an invoice needs your name and address, a number and date, the customer’s name and address, a description of each item, the taxable amount, the rate and tax charged, and the total. Your sales tax permit number is required on the invoice in some states, so include it if your state asks.
What rate do I charge, and on what?
Most states use destination sourcing: the rate is the combined state, county, city and special-district rate at the address where the customer takes delivery, which can range from 0% to over 10%. A few states (including Arizona, Illinois, Texas for in-state sellers and others) use origin sourcing. Tangible goods are generally taxable; most services are exempt in most states, though some (Hawaii, New Mexico, South Dakota, and specific services elsewhere) tax them broadly. Look up the rate for the delivery address on your state revenue department’s site and set it in the tax field.
Do I have to collect sales tax in states where I have no office?
Possibly. Since the Supreme Court’s Wayfair decision in 2018, a state can require you to register and collect once you cross its economic nexus threshold, most commonly 100,000 USD of sales into the state in a year (some states also or instead use 200 transactions, and several have dropped the transaction test). Physical presence such as an employee, inventory or a warehouse creates nexus too. Marketplace sales are usually collected by the marketplace. Check each state where you sell.
When do I not charge sales tax?
When the item is exempt, when the customer is exempt (a reseller with a valid resale certificate, a government body, or a qualifying non-profit with an exemption certificate) or when you have no nexus in the customer’s state. Keep the certificate on file: if you fail to collect tax and cannot produce a certificate, you owe the tax. Untick taxable on the relevant lines and note the certificate number in the notes.
EIN, SSN or ITIN: which goes on the invoice?
Use your EIN if you have one. A sole proprietor without an EIN would otherwise have to give a Social Security number, which should never be printed on an invoice; get a free EIN from the IRS instead. Customers who pay you 600 USD or more in a year for services will ask for a W-9 so they can issue a 1099-NEC, and the EIN on your invoice should match it.
