How to make a packing slip in under a minute

- 01Add your business as the shipper and the customer as the recipient, with the delivery address the parcel is going to.
- 02List every item in the shipment as a line item with the quantity packed and a clear description, SKU or part number.
- 03Set the packing slip number (PS- prefix), the order date and the ship date.
- 04Enter the order number, PO number, carrier and tracking number in the notes so the receiver can match the box to their order.
- 05Upload your logo and click Download free PDF, then put the slip inside the parcel or in a pouch on the outside.
A packing slip is not a bill. Prices are optional: leave the rate blank for an unpriced slip, which is usual when goods are sent as gifts or to a third party.
What should a packing slip include?
The person opening the box uses the packing slip to check the contents against what they ordered, and the warehouse uses it to confirm what was sent. Include the following.
- The words "Packing Slip" and a unique packing slip number
- Your business name, address and contact details (the shipper)
- The customer’s name and the delivery address
- The order number or the customer’s PO number
- The order date and the ship date
- Every item in the shipment with a description and SKU
- The quantity shipped for each item, and any items on backorder
- Carrier and tracking number
- Number of boxes and total weight, if the carrier needs it
- Return instructions or a contact for missing items
Taxes, VAT, GST, and multiple currencies
You can mark each line item taxable or not and set the rate, so a single packing slip can mix taxed and untaxed items. This per-item control is something many simple tools cannot do, where one document is limited to one tax rate.

Frequently asked questions
What is a packing slip, and how is it different from an invoice?
A packing slip lists what is physically in a shipment: each item and the quantity packed. It travels with the goods so the receiver can check the delivery. An invoice asks for payment and goes to the buyer’s accounts team, often by email. They frequently list the same items, but the packing slip has no payment terms and need not show prices.
Should a packing slip show prices?
It does not have to. Leave rates blank for an unpriced slip, which is usual for gifts, dropshipped orders or deliveries to a site where the recipient is not the payer. If the slip also serves as a delivery note for a B2B customer, showing prices can help them match it to the invoice.
What if the shipment is only part of the order?
List only what is in this shipment and note the items still to come as backordered in the description or notes, with the expected date. Give each shipment its own packing slip number and quote the same order number on all of them.
Do I need a packing slip for international shipments?
