How to make a GST/HST invoice in under a minute

  1. 01Add your business name, address and GST/HST registration number (your nine-digit business number with the RT0001 program account, for example 123456789 RT0001), then the customer’s name, address and business number.
  2. 02Add each supply as a line item with a description, quantity and price before tax. The subtotal and tax recalculate live.
  3. 03Tax is pre-set to GST/HST at 5%. Selling into Ontario? Change the rate to 13%. Nova Scotia, New Brunswick, Newfoundland and Labrador or Prince Edward Island? Change it to 15%. Zero-rated or exempt lines: untick taxable.
  4. 04Set the invoice number, invoice date and due date, upload your logo, and make sure the currency shows CAD.
  5. 05Add QST or PST in the notes if you are registered for a provincial tax, state your payment terms, then click Download free PDF.

The notes start with "GST/HST charged at the rate applicable to the place of supply. Payment due within 30 days." Edit that to name the exact tax and rate you charged. The PDF is a document you give your customer; nothing is filed with or sent to any tax authority, and registering for the tax, charging the right rate and reporting it remain your responsibility.

What must a Canadian GST/HST invoice include?

The CRA sets the details an invoice must carry so that a registered customer can claim an input tax credit, and the list grows with the amount. Include the following and you satisfy every tier.

  • Your business name (or the name you trade under) and address
  • The invoice date
  • Your GST/HST registration number (required on any sale of 30 CAD or more)
  • The total amount paid or payable
  • Either the tax charged shown separately, or a statement that the total includes GST/HST and the rate
  • On sales of 150 CAD or more, the purchaser’s name or trading name
  • On sales of 150 CAD or more, a description sufficient to identify each supply
  • On sales of 150 CAD or more, the terms of payment
  • A unique invoice number, and the province of supply if you sell across provinces
  • QST or PST shown separately if you are registered for a provincial tax

Taxes, VAT, GST, and multiple currencies

Frequently asked questions

What does the CRA require on a GST/HST invoice?

It depends on the total. Under 30 CAD: your business name, the invoice date and the total amount. From 30 to 149.99 CAD: add your GST/HST registration number and either the tax amount or a statement that the price includes tax and at what rate. At 150 CAD and over: add the purchaser’s name, a description of each supply and the terms of payment. These are the details a registered customer needs to claim input tax credits, so a business customer will ask for them regardless of the amount.

GST, HST, PST or QST: which do I charge?

The federal GST is 5% everywhere. In the harmonised provinces it is replaced by HST: 13% in Ontario, 15% in Nova Scotia, New Brunswick, Newfoundland and Labrador, and Prince Edward Island. Quebec charges GST plus QST (9.975%) and British Columbia, Saskatchewan and Manitoba charge GST plus their own PST, each with separate registration. Alberta and the territories have GST only. The rate generally follows the place of supply, which for most goods and services is where the customer is. This tool starts at 5% GST; change the rate for HST provinces and note any QST or PST separately.

Do I have to register for GST/HST?

You must register once your worldwide taxable revenues exceed 30,000 CAD in a single calendar quarter or over four consecutive quarters. Below that you are a small supplier and may not charge GST/HST unless you register voluntarily, which many businesses do so they can recover the tax on their own purchases. If you are not registered, leave the registration number blank and untick taxable on every line.

Should the invoice be in English or French?

Federally, either. In Quebec, the Charter of the French Language generally requires that invoices, receipts and similar documents given to customers in Quebec be available in French, and a French version must be no less prominent than any other language. This tool has a Spanish version but not a French one, so for Quebec customers add French descriptions in each line or in the notes.
