How to make an Australian tax invoice in under a minute

  1. 01Add your business name, address and ABN (your 11-digit Australian Business Number), then the customer’s name and, for a sale of 1,000 AUD or more, their address or ABN.
  2. 02Add each supply as a line item with a description, quantity and price. The subtotal and GST recalculate live.
  3. 03GST is pre-set to 10%. Untick taxable on GST-free lines (basic food, most health and education services, exports) so the GST shown is correct for each item.
  4. 04Set a unique invoice number, the invoice date and the due date, upload your logo, and make sure the currency shows AUD.
  5. 05Keep "Tax invoice" at the start of the notes, add your payment terms and bank details (BSB and account number), then click Download free PDF.

The notes start with "Tax invoice. Total price includes GST. Payment due within 30 days of the invoice date." Prices in this tool are entered exclusive of GST, so edit that sentence if you prefer to show the GST amount separately rather than as an inclusive total. The PDF is a document you give your customer; nothing is filed with or sent to any tax authority, and registering for the tax, charging the right rate and reporting it remain your responsibility.

What must an Australian tax invoice include?

The ATO requires specific details before a document counts as a tax invoice, and a GST-registered customer needs a valid one to claim the GST credit on purchases over 82.50 AUD. Include the following.

  • The words "Tax invoice" clearly on the document
  • Your identity: business name or trading name
  • Your Australian Business Number (ABN)
  • The date the invoice was issued
  • A brief description of each item sold, with the quantity and price
  • The GST amount payable, if any, shown separately or as a statement such as "Total price includes GST"
  • Which items are taxable, if not all of them carry GST
  • For sales of 1,000 AUD or more, the buyer’s identity or ABN
  • A unique invoice number and your payment terms

Frequently asked questions

What are the ATO tax invoice requirements?

A tax invoice for a sale under 1,000 AUD must show the words "Tax invoice", the seller’s identity and ABN, the date of issue, a brief description of each item with quantity and price, the GST amount (or a statement that the total includes GST), and which items are taxable if not all are. For sales of 1,000 AUD or more it must also show the buyer’s identity or ABN. A document missing any of these is not a tax invoice, and a customer cannot claim GST credits on it. Your customer can ask you for a compliant tax invoice and you must supply it within 28 days.

What is the GST rate in Australia?

GST is a flat 10% on most goods and services, which is what this tool starts with. Some supplies are GST-free (most basic food, many health, medical and education services, exports) and some are input-taxed (residential rent, most financial supplies); neither carries GST, so untick taxable on those lines. There are no reduced rates.

Do I have to register for GST?

You must register once your GST turnover reaches 75,000 AUD a year (150,000 AUD for non-profits), or as soon as you provide taxi or ride-sourcing services regardless of turnover. Below that you may register voluntarily. If you are not registered you must not charge GST, must not describe the document as a tax invoice and should not claim GST credits: delete "Tax invoice" from the notes, untick taxable on every line, and the document becomes a plain invoice, which is what your customer expects from an unregistered supplier.

Should I show prices including or excluding GST?

Either is allowed on a tax invoice as long as the GST amount is clear, but the ATO expects consumer-facing prices to be GST-inclusive. This tool takes GST-exclusive unit prices and adds GST as a separate line in the totals, so your customer sees the price, the GST and the total. If you prefer the "Total price includes GST" style, keep that sentence in the notes; the printed GST amount still satisfies the requirement.
