How to invoice as a freelancer in under a minute

- 01Add your name or trading name, address, email and, if you charge tax, your tax ID, then the client’s legal name and billing address (ask for it; the person who briefed you is often not the person who pays).
- 02Describe the deliverable in the first line instead of leaving "Project work": name the piece, the version and the date it was delivered. Set quantity and rate (hours and hourly rate, or 1 and the fixed price).
- 03Keep "Revisions (round 2)" only if you billed extra revisions beyond what the quote included, and "Rush fee" only if the client asked for a faster turnaround. Delete lines that do not apply.
- 04Set tax per item if you must charge VAT, GST or sales tax on services where you are (check your local rules), apply any agreed discount, upload your logo and pick the client’s currency.

What should a freelance invoice include?
A freelance invoice needs to survive a trip through someone else’s accounts-payable process without a phone call. Include the following and it will.
- Your name or business name, address, email and tax ID if you are registered for VAT, GST or sales tax
- The client’s legal name and billing address, plus a purchase order or job reference if they gave you one
- A unique, sequential invoice number, the invoice date and a due date that matches your terms
- One line per deliverable with what it was, the version and the date delivered, not just "design work"
- Quantity and rate on every line: hours at your hourly rate, or 1 at the fixed price you quoted
- Separate lines for extra revision rounds and rush fees, so the client sees what was in the quote and what was added
- Any deposit already paid, shown as a deduction so the balance due is unambiguous
- Tax per line if you must charge it, or a note that no tax applies and why
- Payment terms, the late fee that applies and exactly how to pay you (bank details or a payment link)
Taxes, VAT, GST, and multiple currencies
You can mark each line item taxable or not and set the rate, so a single invoice can mix taxed and untaxed items. This per-item control is something many simple tools cannot do, where one document is limited to one tax rate.

What should a freelance invoice include?
Your details and tax ID, the client’s legal name and billing address, a unique invoice number and dates, one line per deliverable with quantity and rate, separate lines for revisions and rush work, any deposit already paid, tax if it applies, and payment terms with instructions on how to pay. The three pre-listed lines cover the common cases; rename the first to the actual deliverable and delete the ones you did not charge.
Should I ask a client for a deposit?
For new clients and any project longer than a couple of weeks, yes. 30% to 50% up front is normal for freelance work, and 100% up front is common for small fixed-price jobs. Send the deposit invoice when the client signs off on the quote, and show the deposit as a deduction on the final invoice so the balance due is clear. Clients who refuse a modest deposit are the ones most likely to pay late.
What payment terms and late fees are normal for freelancers?
The pre-filled notes say "Payment due within 14 days. Late payments accrue 1.5% per month. Deliverables remain the property of the freelancer until paid in full." Net 14 is short enough to keep cash moving and long enough for most clients to process; large companies may push for Net 30, which is fine if you agreed it before you started. A late fee of 1% to 2% per month is common and enforceable in most places if it was stated on the quote or contract, but check your local rules on the maximum rate and whether you must give notice first.
When should a freelancer send the invoice?
Send it the same day you deliver, not at the end of the month. For projects with milestones, invoice at each milestone (for example, concept approval, first draft, final delivery) so no single invoice is large enough to be worth disputing. For ongoing hourly work, invoice weekly or fortnightly with a time log attached. The most common freelance invoicing mistake is a vague description such as "consulting" or "design work" with no dates: the client’s bookkeeper cannot match it to anything and parks it until someone asks.
