How to make a roofing invoice in under a minute

  1. 01Add your company name, address, phone and contractor licence number, then the property owner’s name, the property address and, if an insurer is involved, the claim number in the notes.

What should a roofing invoice include?

A roofing invoice is often the document an insurer, a mortgage lender or a future buyer will read, so it needs to describe the roof, not just the price. Include the following.

  • Your company name, address, phone and contractor licence or registration number
  • The property owner’s name and the property address, plus any insurance claim number
  • Roof replacement by the square, with the shingle or membrane product and colour named
  • Tear-off and disposal, including the number of layers removed

How do I bill extra layers or rotten decking found during tear-off?

As a change order, on its own line, with the date the owner approved it. Nobody can see decking until the old roof is off, so write the estimate with a per-sheet decking price and a per-layer tear-off price, get a text or signed approval when you find it, and then invoice "Decking replacement (sheets)" and "Additional layer tear-off (squares)" at the agreed rates. Attach photos of what you found. The common mistake is folding these into the replacement price without explanation, which is what turns a fair invoice into a dispute.

How should warranty terms appear on the invoice?

State two warranties separately: your own workmanship warranty in years, and the manufacturer’s material warranty by name (for example a 30-year limited shingle warranty). If the manufacturer warranty depends on registered installation or a certified installer, say so and note that you completed the registration. The pre-filled notes carry a five-year workmanship line; change the years to what you actually offer, and keep it consistent with the contract.
