How to make a handyman invoice in under a minute

  1. 01Add your business name, address and phone (and your licence or registration number where handymen are licensed), then the customer’s name and the address you worked at.
  2. 02Fill in the pre-listed lines. "Labor (hours)" takes your hours (round up to your minimum) and hourly rate, or use one line per task with a flat price; "Materials and hardware" takes what you bought for the job at cost; "Trip charge" is your flat call-out or travel fee; "Haul-away and disposal" is for taking the old fixture, debris or junk away.
  3. 03List the tasks in the labor description ("Hung two doors, fixed dripping tap, replaced light switch") so the customer sees what the hours went on. Add a line for each extra the customer asked for while you were there.
  4. 04Untick taxable on labor if it is untaxed where you work and leave it on materials (check your local rules), set the invoice number, date and due date, and upload your logo.
  5. 05Read the pre-filled terms in the notes, mention any warranty you give on your work, add how to pay, then click Download free PDF and hand it over or text it before you leave.

The line items above are listed with no amounts on purpose: type your own quantities and rates so nothing is assumed. The notes start with "Payment due on completion. Minimum charge of one hour. Materials billed at cost with receipts on request." Edit that if your terms differ. In some places a handyman may only do jobs below a certain value or outside licensed trades (electrical, plumbing, gas) without a licence; the invoice should describe work you are allowed to do, so check your local rules.

What should a handyman invoice include?

A handyman invoice is short, but it should still show the customer what they paid for, task by task, with your materials shown separately. Include the following.

  • Your business name, address, phone and licence or registration number where required
  • The customer’s name and the address you worked at
  • The date of the visit and the tasks done, listed in the labor description
  • Labor as hours times your rate (rounded to your minimum) or a flat price per task
  • Materials and hardware you bought for the job, at cost, with receipts available on request
  • A trip charge or call-out fee, if you charge one
  • Haul-away and disposal of the old fixture, debris or junk
  • Any extras the customer added on the day, each on its own line
  • Payment terms (payment on completion is standard), the total due and how to pay

What should a handyman invoice include?

Should I charge hourly or per job?

Hourly with a minimum (the pre-filled notes say "Payment due on completion. Minimum charge of one hour. Materials billed at cost with receipts on request.") is the safest for a list of small, unpredictable tasks, and is what most handymen use. A flat price per task works when you have done the job a hundred times (hang a TV, assemble a wardrobe) and the customer wants one number. Many mix the two: flat for the predictable tasks, hourly for "and while you are here". Whichever you use, describe the tasks so the customer sees the hours were real.

How do I bill materials I bought for the job?

At cost on the "Materials and hardware" line, listing what you bought, with a markup only if you told the customer in advance. Keep the receipts; the pre-filled terms promise them on request. If a trip to the hardware store took half an hour, that is labor, and you can bill it as such if your terms say so. The common mistake is absorbing the small stuff (screws, anchors, caulk) job after job; a "consumables" line at a small flat amount is normal and nobody objects to it.

When should I send the invoice and get paid?

Before you leave. Handyman work is small, same-day and often for a private customer, so payment on completion is the norm and the pre-filled terms say so. Build the invoice on your phone while you pack up, hand it over or text the PDF, and take payment there and then. Add a trip charge to the invoice for jobs that were quoted and then cancelled at the door if your terms allow it. A balance you leave behind on a small job is the balance you will spend the most time chasing.
