How to make a painting invoice in under a minute

- 01Add your business name, address and phone (and licence number where painters are licensed), then the customer’s name and the property address.
- 02Fill in the pre-listed lines. "Interior painting (rooms or sq ft)" takes rooms or square feet and your rate; "Exterior painting" the same for outside; "Prep, patching and priming" is for the prep hours or a flat prep price; "Paint and materials" takes gallons and price if you supplied the paint. Delete what you did not do.
- 03Add lines for anything priced separately on the estimate: ceilings, trim and doors, cabinets, wallpaper removal, drywall repair, or a second coat the customer added after seeing the first.
- 04Untick taxable on labor if it is untaxed where you work and leave it on materials (check your local rules), set the invoice number, dates and currency, and upload your logo.
- 05Read the pre-filled terms in the notes, name the paint brand, product and colour codes used so the customer can buy touch-up paint, add how to pay, then click Download free PDF.
The line items above are listed with no amounts on purpose: type your own quantities and rates so nothing is assumed. The notes start with "Payment due on completion. What should a painting invoice include?
A painting invoice should read like the estimate the customer approved, area by area, with the paint itself shown separately from your labor. Include the following.
- Your business name, address, phone and licence number where required
- The customer’s name and the property address
- Interior painting by room or by square foot, with the surfaces covered (walls, ceilings, trim) named
- Exterior painting by area or square foot, with siding, trim, doors and shutters named
- Prep, patching and priming as hours or a flat price, so the customer sees the work behind the finish
- Paint and materials with the brand, product line, sheen and colour codes, priced at cost plus your markup or as supplied by the customer
- Extras approved during the job (second coat, colour change, drywall repair) with the date agreed
- Any deposit received, shown as a credit
- Your workmanship warranty and what it covers (peeling and blistering, not damage or fading)
- Payment terms, the total due and how to pay

You can mark each line item taxable or not and set the rate, so a single invoice can mix taxed and untaxed items. This per-item control is something many simple tools cannot do, where one document is limited to one tax rate.

Any of the three works as long as the invoice matches the estimate. Most residential painters quote by the room or by square foot of wall, with prep as a separate line, because customers understand it and it rewards fast work. Hourly suits repair-heavy jobs where the prep is unknowable up front. Whatever you choose, put the unit in the line description ("Interior painting, 4 rooms, walls and ceilings") and keep prep, patching and priming separate so a cheap-looking competitor quote that skipped prep is visible for what it is.
How do I bill for paint and materials?
Either at cost plus a markup, or built into your labor rate, but not both. The pre-filled notes say "Payment due on completion. Paint and materials billed at cost plus 10% unless supplied by the customer. Two-year workmanship warranty." If you charge cost plus 10%, list the gallons and the product on the "Paint and materials" line and keep the receipts to show on request. If the customer bought the paint, delete the line and write "Paint supplied by customer" in the notes so a bad batch or a wrong colour is clearly not your material.
When should I send the invoice and how do I handle a deposit?
For a one- or two-day job, invoice on completion after the walkthrough, and get paid that day. For a whole-house exterior or a multi-week interior, take a deposit (often 10% to a third) before you start, bill a progress payment at an agreed point such as "prep complete", and send the final invoice at the walkthrough with the deposit and progress payment shown as credits. Deposit limits for home improvement work vary, so check your local rules. The common mistake is doing the walkthrough, leaving, and invoicing a week later; the snag list grows with every day you wait.
