How to invoice as a web designer in under a minute

- 01Add your studio name, address, email and tax ID, then the client’s legal name, billing address and the site’s domain so the invoice is unmistakably for this project.
- 02Fill in "Website design (pages)" with the number of page templates designed and the price, and "Development and CMS setup" with the build price. For the deposit invoice, bill 50% of these; for the launch invoice, bill the balance with the deposit shown as a deduction.
- 03Put "Hosting and domain (annual)" and "Maintenance (monthly)" on their own lines with the period they cover, or delete them if the client hosts elsewhere. Keeping them separate is what makes the renewals billable next year.

What should a web design invoice include?
A website invoice mixes one-off project work with recurring services and pass-through costs. Include the following and keep the three kinds apart.
- Your studio name, address, email and tax ID
- The client’s legal name, billing address and the domain the work is for
- A unique invoice number, the invoice date, the proposal reference and which stage this is (deposit, milestone or launch)
- Design as a line with the number of page templates, and development or CMS setup as a separate line
- The included revision rounds written into the description, and extra rounds billed hourly on their own line
- Hosting and domain as an annual line, and maintenance as a monthly line, each with the period covered
- Third-party costs (theme, plugins, stock, SSL, transactional email) at cost with receipts
- The deposit or earlier milestones already paid, shown as deductions
- Tax per line where digital services are taxable in the client’s location (check your local rules)
- Payment terms, how to pay, and the statement that the site launches and ownership transfers on final payment

How do I split a website project into deposit and launch invoices?
The pre-filled notes say "50% deposit to begin, 50% on launch. Hosting and maintenance renew annually. Two revision rounds included." Send the deposit invoice with the signed proposal and do not start until it is paid; send the launch invoice when the site is approved on staging, and put it live when the balance clears. Projects over about six weeks are better split into thirds (kickoff, design approval, launch) so no single invoice is large enough to stall. Show every earlier payment as a deduction on the next invoice so the client always sees the running total.
How should I bill hosting, domains and maintenance?
On their own lines, never folded into the project price. Hosting and the domain renew annually: invoice them a month before renewal with the dates covered ("Hosting and domain, 1 Jun 2026 to 31 May 2027"). Maintenance is monthly: invoice on the first of the month, ideally on a recurring schedule, and say what it covers (updates, backups, a set number of content hours). The most common web design invoicing mistake is bundling the first year of hosting into the launch invoice and then forgetting to bill the renewal, so the designer pays for the client’s hosting for years.
Who owns the website, and what about third-party licences?
Say so on the invoice and contract. The usual arrangement is that the custom design and code you wrote transfer to the client on final payment, while the CMS, theme and plugins stay under their own licences, which you pass through at cost. List those licences as separate lines so the client knows what renews and with whom. Check your local rules on digital-services tax: several countries charge VAT or GST on web services based on where the client is, not where you are.
