How to invoice as a landscaper in under a minute

- 01Add your business name, address, phone and any licence or pesticide applicator number your area requires on invoices (check your local rules), then the customer’s name and the property address.
- 02Fill in "Lawn maintenance (visits)" with the number of visits at your per-visit price and the dates in the description, or the monthly contract price with the month covered.
- 03Add "Planting and mulch" with the plant list or the cubic yards of mulch, and "Hardscape installation" with the square footage or the agreed project price. Delete lines that do not apply to this invoice.
- 04Put "Materials and delivery" on its own line at cost plus any agreed markup, with the supplier receipts attached, and set tax per line: materials are taxable in many places where labor is not (check your local rules).

The notes start with "Payment due within 15 days. Seasonal contracts billed monthly. Plant material guaranteed for 30 days with proper watering." Edit that sentence if your terms differ. Hardscape and planting projects usually take a deposit of 30% to 50% before materials are ordered; send that as its own invoice and deduct it from the final one.
What should a landscaping invoice include?
Landscaping bills range from a weekly mow to a patio worth thousands, and the same invoice format has to handle both. Include the following.
- Your business name, address, phone and any licence or applicator number your area requires
- The customer’s name, billing address and the property address
- A unique invoice number, the invoice date, the due date and, for contracts, the month or season covered
- Maintenance as visits at your per-visit price with each visit date, or the monthly contract price
- Planting with the plant list (species, size, count) and mulch or soil by volume
- Hardscape as square footage at your rate or the agreed project price, with the design or estimate referenced
- Materials and delivery at cost plus any agreed markup, with receipts attached
- Deposits already paid, shown as deductions
- Tax per line, because materials are taxable in many places where labor is not (check your local rules)
- Payment terms, the plant guarantee and its watering condition, and how to pay

What should a landscaping invoice include?

How do I invoice seasonal or monthly lawn contracts?
Bill once a month for the season, on the same date, with the visit dates in the maintenance line, which is what the pre-filled notes say: "Payment due within 15 days. Seasonal contracts billed monthly. Plant material guaranteed for 30 days with proper watering." Many landscapers spread the season’s price evenly across the months so the customer pays the same every time and cash flow is predictable; say so in the contract. Send the invoice on the first of the month for the month ahead, or the last day for the month just done, but not both, and keep the pattern the same all season.
Should I separate materials from labor?
Always. Customers want to see what the plants and pavers cost versus what the work cost, and in many places sales tax applies to the materials but not the labor, so a single lump line makes the tax wrong. Put materials and delivery on their own line at cost plus your agreed markup, attach the supplier receipts, and bill the installation as labor. The most common landscaping invoicing mistake is one line reading "Backyard patio" with a total and nothing else, which the customer cannot check and the tax office cannot classify.
How should the plant guarantee appear on the invoice?
State it and its condition in the notes, as the pre-filled terms do: 30 days with proper watering. The condition matters because most dead plants died of thirst in the first fortnight, and without the wording you replace them for free. Give the customer the watering instructions with the invoice, date the planting on the line, and if you offer a longer guarantee on trees or with a maintenance contract, say so. Check your local rules on consumer guarantees, which in some places cannot be shortened by your terms.
