How to make a tutoring invoice in under a minute

  1. 01Add your name or business name, address and phone, then the parent or student who pays as the customer, and the student’s name and subject in the notes or the first line description.
  2. 02Fill in the pre-listed lines. "Tutoring session (hours)" takes the total hours for the month as the quantity and your hourly rate, or one line per session with the date; "Exam preparation package" is a flat package price; "Materials and workbooks" takes any books or printed materials you supplied at cost.
  3. 03Add a line for each late cancellation or no-show you are charging under your policy, with the date, and a separate line for online sessions if you price them differently. Delete any pre-listed line you did not use.
  4. 04Tutoring is often untaxed but not everywhere; untick taxable as your local rules require. Set the invoice number, the date and the due date, and choose your currency.

What should a tutoring invoice include?

A tutoring invoice usually goes to a parent who was not in the room, so it needs to show exactly which sessions are being billed. Include the following.

  • Your name or business name, address, phone and email
  • The parent or student who pays, and the student’s name and subject or course
  • Sessions as hours times your hourly rate, or one line per session with the date and length
  • Packages (exam preparation, a block of ten sessions) as a flat price with the dates or sessions covered
  • Materials and workbooks you supplied, at cost, with the title
  • Late cancellations or no-shows charged under your policy, each with the date
  • The billing period (for example the month) the invoice covers
  • Payment terms and the due date, and how to pay

What should a tutoring invoice include?

Should I bill per session, monthly or in advance?

Monthly in arrears is the simplest for regular students and is what the pre-filled notes assume: "Billed at the end of each month for sessions delivered. Sessions cancelled with less than 24 hours notice are billed in full." Per session suits occasional students and new families you have not built trust with yet. Billing a block in advance (ten sessions, an exam prep course) protects you from no-shows and is worth a small discount. Whichever you use, list the session dates on the invoice.

How do I charge for late cancellations and no-shows?

Have the policy in writing before the first session, then apply it on the invoice as its own line with the date ("Late cancellation, 14 March, under 24 hours notice"). The pre-filled terms use 24 hours; some tutors use 12 or 48. Charging in full for a no-show and half for a late cancellation is a common middle ground. The common mistake is waiving it once without saying so, which turns the policy into a suggestion.

Do I charge tax on tutoring?

It depends where you are. In many places private tuition is exempt from VAT, GST or sales tax, in others it is taxed like any service, and some exempt only certain subjects or certain kinds of tutor. Untick taxable on the lines that are exempt for you and leave the tax rate at 0% if none applies. Check your local rules, and keep a copy of the invoice either way; it is income you will need to report.
