How to invoice as a graphic designer in under a minute

The notes start with "Payment due within 14 days. Final files are released on receipt of payment. Additional revision rounds are billed hourly." Edit that sentence if your terms differ. The "Source files" line is there for a reason: editable originals are a separate deliverable that many designers price separately from the finished artwork, and the invoice should say whether they are included.
What should a graphic design invoice include?
A design invoice needs to restate the scope the client agreed to, because scope is where design projects go wrong. Include the following.
- Your studio name, address, email and tax ID
- The client’s legal name, billing address and purchase order number if they use one
- A unique invoice number, the invoice date, the project or proposal reference and the due date
- Each deliverable as its own line with the scope in the description: number of concepts, number of revision rounds, formats supplied
- Extra revision rounds beyond the included ones, billed hourly on a separate line with the hours shown
- Whether source files (editable originals) are included, and at what price if they are separate
- Third-party costs bought on the client’s behalf (stock images, font licences, printing) at cost, with receipts attached
- The deposit already paid, shown as a deduction
- Tax per line if design services or printed goods are taxable where you are (check your local rules)
- Payment terms and the statement that final files and rights are released on receipt of payment

What should a graphic design invoice include?

How do I handle revisions and scope creep on the invoice?
State the included rounds on the proposal and repeat them in the line description, then bill anything beyond them hourly on a separate line, which is what the pre-filled notes say: "Payment due within 14 days. Final files are released on receipt of payment. Additional revision rounds are billed hourly." Tell the client before you start a paid round, not after. A line that reads "Revision round 3 (requested 14 May), 2.5 hours" is rarely questioned because the client remembers asking. The most common design invoicing mistake is absorbing round after round of changes and then trying to recover the time on the final invoice with no paper trail.
Should I ask for a deposit on design work?
Yes. 50% on signing is the norm for logo and branding projects, with the balance on approval of the final artwork and before files are released; larger projects are often split into thirds at kickoff, concept approval and delivery. Send the deposit invoice with the proposal, and show the deposit as a deduction on the final invoice. Because the files are the leverage, the notes release them on receipt of payment; send a watermarked preview for sign-off and keep the finals until the balance clears.
Who owns the design, and should the invoice say so?
Under most copyright law the designer owns the work until the rights are assigned in writing, and the assignment is usually conditional on full payment. Say so on the invoice and in the contract: for example, "Copyright in the final artwork transfers to the client on receipt of payment in full; the designer retains the right to show the work in a portfolio." Third-party assets such as stock images and fonts come with their own licences that you pass through rather than own, so list them at cost and name the licence. Check your local rules if the client wants a full buyout including source files and moral rights.
