How to invoice as a photographer in under a minute

- 01Add your studio name, address, email and tax ID, then the client’s name and address. For a commercial shoot, use the company’s legal name and ask for a purchase order number.
- 02Fill in the "Photography session (hours)" line with the shoot date, location and hours at your rate, or set quantity 1 at your package price if you sell packages.
- 03Add the "Edited digital gallery" line with the number of edited images promised, "Prints and albums" with sizes and quantities, and "Travel and location fee" with the mileage or the venue fee. Delete what does not apply.
- 04For the booking invoice, add a discount or a negative line so only the 50% retainer is due; for the final invoice, show the retainer already paid as a deduction. Set tax per line: prints are often taxable where the session is not (check your local rules).

The notes start with "A 50% retainer secures the date; the balance is due before gallery delivery. Images are licensed for personal use unless otherwise agreed." Edit that sentence if your terms differ. If the client is a business that will publish the images, replace the personal-use sentence with the licence you sold: the media, the territory, the duration and whether it is exclusive.
What should a photography invoice include?
A photography invoice does two jobs: it collects the money and it records what the client may do with the images. Include the following so both are clear.
- Your studio name, address, email and tax ID
- The client’s name and address, or the company’s legal name and purchase order number for commercial work
- A unique invoice number, the invoice date, the shoot date and the due date
- The session as a line with date, location and hours at your rate, or the package name at the package price
- The deliverables: number of edited images, gallery delivery date, and prints or albums with sizes and quantities
- Travel, mileage, location or permit fees, and any second shooter or assistant billed through you
- The retainer already paid, shown as a deduction, so the balance due before delivery is unambiguous
- Tax per line, because prints and albums are often taxable where the session fee is not (check your local rules)
- The usage licence: personal use, or for commercial work the media, territory, duration and exclusivity
- Payment terms, how to pay, and the statement that images are released once the balance is paid

What should a photography invoice include?

The four pre-listed lines cover most sessions; add a line for a second shooter, an engagement session or extra album pages as needed.
How do I invoice a retainer and the balance?
Send two invoices. The booking invoice, sent when the contract is signed, is for the retainer only (the pre-filled notes say "A 50% retainer secures the date; the balance is due before gallery delivery. Images are licensed for personal use unless otherwise agreed."), and it is what secures the date. The final invoice, sent after the shoot and before the gallery goes out, lists everything delivered and shows the retainer as a deduction. Call it a retainer rather than a deposit in your contract if you intend to keep it when the client cancels; whether a non-refundable retainer is enforceable varies by place, so check your local rules.
Do I charge sales tax or VAT on photography?
It depends on where you are and on what you sell. In many US states, prints, albums and other physical goods are taxable while the session fee is not, and some states tax digital images too; in VAT and GST countries the whole service is usually taxable once you are registered. This tool lets you tick taxable per line, so you can tax the "Prints and albums" line and leave the session untaxed if that is the rule where you work. Check your local rules or ask an accountant, because getting this wrong is expensive to fix later.
When should a photographer send the invoice, and what is the most common mistake?
Send the retainer invoice with the contract, and the balance invoice as soon as the edits are done, with a due date before the delivery date. For commercial clients, invoice on delivery with Net 15 or Net 30 and a purchase order number. The most common mistake is delivering the gallery before the balance is paid: once the client has the images, the invoice loses its urgency. The second most common is not stating the licence, so a family portrait ends up on a company website and you have nothing in writing.
