How to make a real estate invoice in under a minute

  1. 01Add your brokerage or business name, address, phone and licence number, then the client (the seller, the buyer, the landlord or, for a commission invoice, the closing agent or the other brokerage) as the customer. Put the property address and the closing or lease date in the notes.
  2. 02Fill in the pre-listed lines. "Commission (% of sale price)" takes the commission as one line with the sale price and the percentage in the description and the resulting amount as the rate; "Property management fee (monthly)" takes the month and the fee; "Marketing and photography" takes what you spent at cost; "Administrative fee" is your flat transaction or lease-up fee.
  3. 03Add lines for a referral fee split, a lease-up or tenant placement fee, a renewal fee, or maintenance you coordinated and paid on the owner’s behalf, each with the receipt. Delete any pre-listed line you did not use.
  4. 04Real estate commissions and management fees are taxed in some places and not others; untick taxable as your local rules require. Set the invoice number, the date and the due date, and choose your currency.

What should a real estate invoice include?

A real estate invoice ties money to a property and to an agreement, so both must be named. Whether it is a commission at closing or a monthly management fee, include the following.

  • Your brokerage or business name, address, phone and licence number
  • The client being billed (seller, buyer, landlord, closing agent or cooperating brokerage)
  • The property address and the agreement the fee is due under, with its date
  • Commission as a line showing the sale price, the percentage and the resulting amount
  • Property management fee for the month named, and the rent collected it is based on if it is a percentage
  • Marketing and photography at cost, with what was bought (photos, staging, listing fees, signage)
  • Administrative, transaction, lease-up, renewal or referral fees, each on its own line
  • Maintenance or repairs you paid on the owner’s behalf, with receipts
  • The closing date, lease date or billing month, and the due date
  • Where funds should be sent (escrow, trust or operating account) and how to pay

Taxes, VAT, GST, and multiple currencies

What should a real estate invoice include?

How do I invoice a commission?

One line that shows the working: "Commission, 3% of sale price of (amount), (property address)" with the resulting amount as the rate and quantity 1. Name the listing or buyer agreement and its date, and the closing date; the pre-filled notes read "Commission due at closing per the listing or buyer agreement. Property reference and closing date noted above." Commission is usually paid from the closing proceeds by the closing agent, so the invoice often goes to them or to the cooperating brokerage rather than to the seller directly. Who may receive a commission is regulated, so check your local rules.

How do I bill monthly property management fees?

On the "Property management fee (monthly)" line, with the month in the description and, if your fee is a percentage of rent collected, the rent it was calculated on. Add lines for repairs and maintenance you paid on the owner’s behalf at cost with receipts, and for lease-up, renewal or inspection fees when they occur. Many managers deduct fees from rent and send an owner statement rather than an invoice; if you do, this document still works as the fee statement, and a free account can send it on the same day every month.

What about marketing costs and admin fees?

Bill marketing and photography at cost with the receipt, or as a flat marketing package you priced in the listing agreement, but say which on the invoice. Administrative or transaction fees are legal in many places but must be disclosed in the agreement before they are charged, and some places restrict them, so check your local rules. The common mistake is a "marketing" line with no breakdown on a listing that did not sell; the seller will ask what they paid for, so list the photos, the staging and the listing fees.
