How to invoice as a consultant in under a minute

  1. 01Add your firm’s name, address, email and tax ID, then the client’s legal entity, billing address and the purchase order or engagement reference their finance team asked you to quote.
  2. 02Bill time on the "Consulting (hours)" line with the total hours for the period and your rate. In the description, name the period covered and the workstream, and attach a timesheet with dates and 15-minute entries.
  3. 03Bill fixed-fee work on its own lines: a "Strategy workshop (half day)" with the date, a "Report and recommendations" line when the report is delivered. Delete lines you did not deliver this period.
  4. 04Add travel and other expenses at cost with the receipt total on the line, or delete the line if the engagement letter says expenses are included in the fee.
  5. 05Set the invoice number and dates with the due date at Net 30, apply tax if your services are taxable where the client is (check your local rules), upload your logo and click Download free PDF.

The notes start with "Net 30. Hours billed in 15-minute increments per the engagement letter. Expenses billed at cost." Edit that sentence if your terms differ. A retainer engagement is invoiced in advance at the start of each month for the agreed block of hours, with any hours over the block billed in arrears on the next invoice.

What should a consulting invoice include?

Corporate clients pay consulting invoices through a procurement system that rejects anything it cannot match to an engagement letter or purchase order. Include the following and it goes straight through.

  • Your firm’s name, address, email and tax or company registration number
  • The client’s legal entity name and billing address, with their purchase order or engagement reference
  • A unique invoice number, the invoice date and a due date consistent with your terms (Net 30 in the notes)
  • The period covered, for example "1 to 31 May", so the client can accrue it in the right month
  • Time as hours at your rate, by workstream or phase, with a timesheet attached that shows dates and 15-minute entries
  • Fixed-fee deliverables (workshops, reports, assessments) on their own lines with the delivery date
  • Expenses at cost on separate lines with receipts attached, or a note that expenses are included
  • Any retainer already invoiced or hours drawn from a prepaid block, shown so the balance is clear
  • Tax if your services are taxable where the client is, and the reverse-charge note if you bill across borders
  • Payment terms, late fee, and bank or payment-link details, including the currency and any international transfer references

Taxes, VAT, GST, and multiple currencies

You can mark each line item taxable or not and set the rate, so a single invoice can mix taxed and untaxed items. This per-item control is something many simple tools cannot do, where one document is limited to one tax rate.

What should a consulting invoice include?

Your details, the client’s legal entity and purchase order reference, invoice number and dates, the period covered, hours by workstream at your rate with a timesheet attached, fixed-fee deliverables on their own lines, expenses at cost with receipts, anything already invoiced on retainer, tax where it applies, and payment terms. Corporate accounts-payable teams reject invoices missing a PO number more often than for any other reason, so ask for one before the first invoice.

Should I bill hourly, per project or on retainer?

Hourly suits diagnostic and open-ended work; bill it in 15-minute increments (the pre-filled notes say "Net 30. Hours billed in 15-minute increments per the engagement letter. Expenses billed at cost.") and never round a 10-minute call to an hour. Fixed fees suit defined deliverables such as a workshop or report, and let you invoice on delivery rather than by the clock. Retainers suit ongoing advisory work: invoice the agreed block of hours in advance each month, bill overage in arrears, and state in the engagement letter whether unused hours roll over. Many consultants mix all three on one invoice, which is why the tool pre-lists hours, a workshop and a report.

What payment terms are normal for consultants?

Net 30 is standard for corporate clients and is what the notes carry; Net 15 or payment on delivery is reasonable for small businesses and individuals. Larger companies sometimes impose Net 45 or Net 60 in their supplier terms; if you accept it, price it in. A late fee of 1% to 1.5% per month is common and should be stated in the engagement letter, not just on the invoice. Check your local rules: several countries have statutory late-payment interest and fixed recovery charges for business-to-business invoices that you can claim on top.

When should a consultant send the invoice, and what is the most common mistake?

Invoice on the last working day of each month for time-based work, on delivery for fixed-fee deliverables, and on the first of the month in advance for retainers. Do not let two months of hours pile onto one invoice; the client’s budget holder will question a large number they did not see coming. The most common consulting invoicing mistake is a line that says "Consulting services, 42 hours" with no dates, no workstream and no timesheet: it invites a query, and every query costs you a fortnight.
