How to invoice as a cleaner in under a minute

- 01Add your business name, address, phone and, if you carry them, your insurance and bonding details, then the customer’s name and the address of the property cleaned.
- 02Fill in "Standard cleaning (hours)" with the hours and your hourly rate, or set quantity to the number of visits at your per-visit price. Put the visit dates in the description so a monthly invoice lists every clean.
- 03Add "Deep cleaning" and "Carpet or window cleaning" as one-off lines with the rooms or windows counted, and "Supplies" only if you charge for them separately. Delete lines that do not apply.
- 04Add a line for any missed visit or late cancellation you are entitled to charge under the 24-hour notice in the notes, and set tax per line if cleaning services are taxable where you are (check your local rules).

The notes start with "Payment due on completion. Recurring service billed at the end of each month. 24-hour cancellation notice required." Edit that sentence if your terms differ. For commercial customers, attach the signed checklist or a couple of before-and-after photos; for a monthly invoice, the dates on the standard cleaning line are the proof.
What should a cleaning invoice include?
A cleaning invoice is usually small and frequent, so it needs to be quick to approve. Include the following and the customer can pay it without asking a question.
- Your business name, address, phone and, if you have them, insurance and bonding details
- The customer’s name and the address of the property cleaned, if different from their billing address
- A unique invoice number, the invoice date and the due date
- For recurring work, the period covered and the date of every visit in that period
- Standard cleaning as hours at your rate or visits at your per-visit price
- One-off services (deep clean, carpets, windows, oven, move-out clean) on their own lines with rooms or units counted
- Supplies if you charge for them, or a note that they are included
- Missed visits or late cancellations charged under your notice policy, with the date
- Tax per line if cleaning services are taxable where you work (check your local rules)
- Payment terms and how to pay, with a payment link or bank details for customers who used to leave cash

What should a cleaning invoice include?
Your details and insurance or bonding information, the customer and the property address, invoice number and dates, the period and the date of each visit for recurring customers, standard cleaning as hours or visits, one-off services on their own lines, supplies if charged, any missed-visit fees, tax where it applies, and payment terms with a way to pay. The four pre-listed lines cover most residential and small commercial jobs.
Should I invoice per visit or monthly?
One-off and first-time jobs are paid on completion, ideally on the spot with a card or payment link. Regular customers are easier to bill once a month: one invoice listing every visit date, sent on the last day of the month or the first of the next, which is what the pre-filled notes say: "Payment due on completion. Recurring service billed at the end of each month. 24-hour cancellation notice required." Commercial contracts are often billed monthly in advance. Put the visit dates in the line description; a monthly invoice that just says "Cleaning, 4 visits" is the one that gets queried.
Can I charge for a cancelled or missed visit?
Yes, if the customer agreed to the policy in advance. The notes require 24 hours notice; a common policy is to charge the full visit for a same-day cancellation or a lockout, and half for less than 24 hours. Put it on your quote or service agreement, not just the invoice, and bill it as its own line with the date so it is not mistaken for a clean that happened. Check your local rules on cancellation fees for consumers, which some places cap.
Do I charge sales tax on cleaning services?
It varies. Some US states tax residential cleaning, more tax commercial janitorial services, and many tax neither; VAT and GST countries usually tax cleaning once you pass the registration threshold. This tool lets you tick taxable per line, so you can tax a carpet cleaning line and leave the standard clean untaxed if that is how your rules work. Check your local rules, and keep the pre-listed "Supplies" line separate because supplies are treated differently again in some places.
