How to invoice as an electrician in under a minute

- 01Add your business name, address, phone and electrical licence number (required on the invoice almost everywhere; check your local rules), then the customer’s name and the address where the work was done.
- 02Fill in "Service call and troubleshooting" at your call-out rate with the fault you found in the description, for example "Tripping breaker: failed 20 A AFCI on bedroom circuit".
- 03Fill in "Labor (hours)" with the hours and rate, or set quantity 1 at your flat rate for the task. Describe the work done and the code it was done to, so the invoice doubles as the compliance record.
- 04List "Wiring, breakers and fixtures" with the part descriptions and quantities, and "Permit and inspection" at cost with the permit number when the job needed one (panels, new circuits, EV chargers). Delete lines that do not apply.

The notes start with "Payment due on completion. Work performed to local electrical code; permit fees billed at cost. Labor warranted for one year." Edit that sentence if your terms differ. For a panel upgrade or a new circuit, attach a photo of the finished panel with the labelled breakers and the inspection sticker; it is the proof the customer, the insurer and the next electrician all want.
What should an electrician invoice include?
An electrical invoice is also a safety record: it shows who did the work, to what standard, and whether it was inspected. Include the following.
- Your business name, address, phone and electrical licence number
- The customer’s name and the address where the work was done, plus the visit date
- A unique invoice number, the invoice date and the due date (on completion in the notes)
- The service call and troubleshooting as its own line, with the fault found in the description
- Labor as hours at your rate or a flat rate per task, describing the work and the code standard it meets
- Materials by description and quantity: cable by type and length, breakers by rating, fixtures by model
- Permit and inspection fees at cost, with the permit number and inspection date
- Any estimate or approval reference, and change orders for work added on site
- Tax per line where materials are taxable and labor is not (check your local rules)
- Your labor warranty period, payment terms and how to pay

What should an electrician invoice include?
Your licence number and contact details, the customer and work address with the visit date, invoice number and dates, the service call and troubleshooting as a line with the fault described, labor with the work and code standard described, materials by description and quantity, permit and inspection fees at cost with the permit number, tax per line, and the labor warranty with payment terms. The four pre-listed lines are the shape of most service tickets and small installations.
How do I bill permits and inspections?
On their own line at cost, with the permit number and the inspection date in the description, which is what the pre-filled notes promise: "Payment due on completion. Work performed to local electrical code; permit fees billed at cost. Labor warranted for one year." Permits are required for panel changes, new circuits, EV chargers and most work beyond like-for-like replacement, and the customer will need the paperwork for insurance and when they sell the house. The most common electrical invoicing mistake is burying the permit fee in labor: the customer cannot see it was pulled, and you cannot show it was passed through at cost.
Should I quote a flat rate or bill hourly?
Service calls and troubleshooting are usually hourly after the call-out fee, because nobody knows how long the fault will take to find. Installations such as a panel upgrade, a new circuit or an EV charger are better quoted as a flat price with the materials listed, sent as an estimate the customer approves before you order parts. Bill against the approved estimate, and put anything discovered on site (aluminium wiring, a full panel, no ground) on a separate change-order line the customer agreed to, not silently in the total.
What warranty and proof should go with the invoice?
State your labor warranty in the notes (one year by default here; check your local rules, since some places set a minimum for building work) and note that fixtures and devices carry the manufacturer warranty. Attach a photo of the finished work, the labelled panel schedule for panel jobs, the inspection sticker or certificate where one was issued, and the manufacturer documents for anything with its own registration. Property managers and builders will also want your certificate of insurance on file, so mention it on the invoice.
